Selection Process:

  • Collaborate with business owners to conduct needs assessment and document requirements.
  • Research and evaluate potential vendors, considering factors such as reputation, pricing, support, and product features.
  • Collaborate and assist with the creation and management of RFPs to gather and compare vendor proposals.
  • Raise awareness of technical requirements such as ADA or Security standards.
  • Identify potential integrations and prepare questions as needed. For example in relation to Single Sign On (SSO)
  • Collaborate with stakeholders to make informed decisions about vendor selection.
  • Assist in contract negotiation to secure favorable terms and conditions.

Implementation:

  • Work closely with vendors to ensure a seamless implementation of the procured product or solution.
  • Develop a detailed implementation plan, including timelines, milestones, and resource allocation for UT project aspects
  • Where available, assist with customizing the product to meet the specific needs and requirements of the organization.
  • Provide training sessions to ensure that employees can effectively use the newly implemented product. In addition to vendor-provided training if needed.
  • Perform thorough testing to verify that the product works as intended and meets performance standards.
  • Available to work with vendor and client during technical conversations and troubleshooting

Integration:

  • Integrate the newly procured product with existing systems and software to ensure compatibility and data flow.
  • Partner with other campus areas on integrations.
  • Transfer relevant data from legacy systems to the new product, preserving historical information.
  • If necessary, develop custom APIs to enable seamless communication between systems.
  • Collaborate to streamline and automate workflows by connecting different software and tools.
  • Provide ongoing support for integrations, addressing any issues or needed updates.

What to Expect Time Frame: 

TRecs staff are expected to reply to inquiries within 1 business day unless the priority or urgency of the request requires a quicker response. TRecs customers are expected to reach out to trecs-requests@utlists.utexas.edu for any requests and inquiries for existing or new products.

Rates/Prices

For procurement requests outside the scope of the services listed here may result in a cost. Rates and prices may be discussed if additional services are needed. The requesting department may be solely responsible for the price of the purchased good.
